Turn client emails and meeting notes into briefs your team can trust
Simplr brings client emails, meeting notes and requests together around the right client and job, suggests the updates they point to and helps you shape a clear brief. Nothing changes until someone on your team has reviewed it.
A client inbox built for agency teams
Most briefs start life scattered across a few email threads and a call. On Simplr Plus, you can connect Gmail or Outlook and Microsoft 365, and each client message arrives with a short summary of what is being asked, plus a suggested match to the client and job it belongs to. If the match is wrong, change it.
Simplr then proposes the updates the email implies, such as a new action item, a changed deadline or a move to the next stage, and shows the evidence behind each one. It can draft a reply for you to edit and approve, too. Mail stays private to you until you choose to link and share it with the agency, and nothing is sent to a client without you.
- A short summary of what the client is asking for
- A suggested client and job match that you can change
- Proposed action items, deadlines and status changes, with the evidence for each
- A reply draft to review and edit before anything is sent
Meeting notes that become actions
Calls are often where the real direction gets agreed. On every plan, you can paste a meeting transcript or upload an audio recording, and Simplr identifies proposed updates grounded in what was said: the job it relates to, status or deadline changes and new action items. Speaker names and timestamps make the evidence easier to check.
On Plus, Simplr Recorder can join meetings for you. Connect a Google or Outlook calendar and it joins scheduled Google Meet, Zoom and Microsoft Teams calls, announces that it is transcribing and sends the transcript into the same review. If a meeting should stay unrecorded, keep the recorder out of that one meeting without changing the rest of your calendar.
You stay in control of every update
Suggestions are a starting point, not a decision. Emails and meetings wait in a review queue until someone on your team looks at them. Choose which proposals to apply, approve only the ones that are right and leave the rest. If nothing needs to change, close the review or reject the proposals with a reason, and the job stays exactly as it was.
Every decision keeps its evidence and the exact outcome in the audit trail, so you can see later why a deadline moved or where an action came from. Approving an update changes the job in Simplr; it never sends anything to the client.
A brief built on the right sources
Each job can hold a brief, its scope and the creative requirements behind it: required wording, prohibited claims, format guidance, owners, dependencies, client inputs and assumptions. Write it yourself or draft it from selected emails and meeting notes, then check every requirement against the original sources before you save.
Missing and conflicting information has its own place in the brief, so it gets resolved before anything is shared. Every saved brief is a new version, which means earlier thinking is never lost when the direction changes.
From internal review to client acceptance
A brief moves from draft to internal review, then to the client when you choose to share it. Through the client portal, included on every plan, a client contact can accept that exact version of the scope, and Simplr records who accepted it and when.
When the client asks for something new, the request is assessed against the accepted scope: the effect on deliverables, timing and workload, who should review it, and whether it fits the existing scope, needs a revised one, needs clarification or should be declined. For retainer clients, scope changes never add automatic charges.
Client context in one place
Focus on one client or see all agency work, with emails, meetings, tasks and suggested actions connected. Account teams keep the brief, the conversation, the status and the next action in one dependable place, and creatives start with context rather than a forwarded thread.
Frequently asked questions
Does Simplr send emails to clients automatically?
- No. Simplr can draft a reply, but nothing is sent without you. Approving an email’s proposed updates changes the job in Simplr only, and mail stays private to you until you choose to share it with the agency.
Which email and calendar tools does Simplr work with?
- On Simplr Plus, you can connect Gmail and Google Workspace or Outlook and Microsoft 365. Simplr Recorder joins Google Meet, Zoom and Microsoft Teams calls from a connected Google or Outlook calendar.
Can we turn meeting notes into actions on Simplr Essentials?
- Yes. Every plan includes manual meeting notes: paste a transcript or upload a recording, then review the proposed updates. Email assistance and the meeting recorder are included on Plus.
What if Simplr matches an email to the wrong job?
- Change the match before you approve anything. Suggestions only take effect when someone on your team approves them, and you can apply some proposals while leaving others.
Can clients accept a brief in Simplr?
- Yes. When you share a scope through the client portal, a client contact with approval permission can accept that exact version, and Simplr records the contact and the time. It is a recorded approval, not a legal electronic signature.
